BUY PRICE / PAX MANAGEMENT - TOUR LEADER
The "Tour Leader/Tour Manager Fee" calculation is an important aspect of accurately costing your tours and ensuring fair compensation for your tour leaders. This fee, along with their accommodation costs, is managed in the "Buy Price" section after all other options and modules for the main itinerary have been added.
Here's a breakdown of the process:
Tour Leader Fee:
Line-by-Line Entry: For each service or activity in the "Buy Price" section, you specify the percentage (%) cost of tour leaders required in the last column. This allows for flexibility, as different services might need varying levels of tour leader support.
Calculation:
The per-person cost of each item is multiplied by the number of tour leaders needed.
This amount is then divided by the minimum number of passengers (pax) in that cost column to distribute the fee fairly.
The result is the added cost per person for that item, attributed to the tour leader fee.
Tour Leader Landing Services: For landing services (arrival/departure services), indicate tour leader need with "1" = 100% (needed); "0.5" = 50% or "0" (not needed or Free of Charge).
Tour Leader Accommodation:
Accommodation Types: You can add accommodation for tour leaders in a few ways in Buy Price and Pax Management:
Full Room: The tour leader gets their own room with customised rate
Half Room: The tour leader shares a room with another staff member or (in some cases) a tour participant.
Discount Room: A discounted rate negotiated with the accommodation provider.
Adding Accommodation:
Separate Line: Add a separate line item in the "Buy Price" section specifically for tour leader accommodation.
TOUR LEADER Tickbox: Mark this line item with a "TOUR LEADER" tickbox to clearly identify it as such. This helps with tracking and reporting.
