The Room Assignment module streamlines how travelers are distributed across contracted hotel rooms. It accurately links individual passengers to specific room categories and bed arrangements, ensuring precise cost calculations for single supplements, extra beds, and child rates while keeping the operational rooming list synchronized.

Core Bedding & Room Configurations

• Standard Room Types: Allocate guests into DBL (Double), TWN (Twin), KING, or SGL (Single) rooms according to guest preferences.

• Triple & Extra Bed Setup: Configure TPL (Triple Room) or TWN + EB (Twin with Extra Bed) setups, with dedicated pricing rules for EB (A) (Adult Extra Bed) and EB (C) (Child with Extra Bed).

• Child Sharing Policies: Assign children sharing existing bedding with parents without triggering extra adult room charges.

• Tour Leader (FOC) Allocations: Separate and track complimentary or single-occupancy rooms assigned to tour leaders/guides for clear operational handovers.

Step-by-Step Assignment Workflow

• Define Room Quantities: Set the required number of units per bed type (e.g., 5 Double rooms for 10 adults).

• Apply Assignment: Click APPLY ASSIGNMENT... to generate room line items and auto-balance passenger numbers against contracted capacity.

• Room-by-Room Passenger Matching: In the generated table, map each specific traveler (Pax 1, Pax 2, etc.) to their designated Room No., Bedding Type, and Room Category.

• Real-Time Financial & Status Tracking: Instantly view live booking statuses (e.g., BLOCKED), individual room cost totals, and special rooming requests (RQ*) for seamless hotel voucher generation.
